A practical timeline checklist for wedding venue ground protection
Outdoor weddings are beautiful, but they come with a problem most couples don't think about until it is too late: the ground. A dry field in June can become a churned-up mess after a single shower and a few dozen guests. The marquee might look perfect, but if the route from the car park to the ceremony is a mudslide, nobody remembers the flowers. Worse still, a stuck caterer's van or an inaccessible toilet block can derail the entire day.
Good ground protection is invisible. Guests walk on it without noticing. Suppliers move freely. And at the end of the day, the venue looks as good as it did when the first car arrived. Here is your timeline checklist to make that happen.
8-12 Weeks Out: The Site Visit
This is the moment to walk the venue with ground protection in mind. Take photos. Make notes. Ask the venue manager about problem spots.
- Walk every route a guest will take: car park to ceremony, ceremony to reception, reception to toilets. Mark areas where grass is thin, slopes are steep, or drainage is poor.
- Check the marquee site. Is it level? Is there a natural dip where water collects? Check the ground underneath and the entrance area.
- Identify vehicle access points. Caterers, florists, bands, and furniture hire all need to get close. A single HGV stuck in soft ground can delay the entire setup.
- Assess parking. A field that looks firm in April can be very different after a wet May. Decide now whether you need ground protection under the parking area.
- Ask about previous weddings at the venue. What went wrong? Where did the mud appear? Venue staff usually know the weak spots.
- Measure the high-traffic zones. How many metres of walkway will you actually need between key points?
4-6 Weeks Out: Place Your Order
By now you should know exactly what you need. Do not leave this later. Summer is peak season and hire stock moves fast.
- Order marquee flooring. LuxTrax is the premium choice for weddings: a finished surface that looks smart, feels comfortable underfoot, and handles tables, chairs, and dancing.
- Order guest walkways. WalkOvers create safe, stable paths between key areas. They interlock securely, suit wheelchairs and pushchairs, and protect the grass beneath.
- Order vehicle access protection if needed. If the caterer's van or the band's equipment lorry needs to cross grass, factor in trackway panels for the access route.
- Book any additional event furniture you need. Fold tables for the bar and buffet, StarShades for outdoor seating, and picket fencing to define boundaries.
- Confirm delivery and collection dates with your hire provider. Make sure the timeline works for the venue's access windows.
1 Week Out: Confirm Everything
This is the final check before the delivery week. Weather forecasts are worth watching now.
- Check the long-range forecast. If heavy rain is predicted, review your coverage. Do you need additional walkways?
- Confirm delivery details with your hire provider. Give them the exact postcode, site entrance, and a contact number for the day.
- Confirm with the venue that access will be available on the delivery day.
- Brief your suppliers. Tell the caterers, florists, and band where they can and cannot drive.
- Walk the venue one more time if you can. Grass grows fast in late spring. Routes that looked clear in April might be different now.
The Day Before: Delivery and Setup
This is when the physical work happens. If possible, be on site or have someone you trust there to accept the delivery.
- Accept delivery of all hire equipment. Check quantities against your order.
- Lay marquee flooring. LuxTrax panels go down quickly and lock together to form a continuous surface.
- Install guest walkways along all planned routes. Walk each path yourself. Does it feel stable?
- Set up vehicle access panels for supplier deliveries.
- Place picket fencing to mark boundaries and guide guests.
- Set up outdoor furniture. Position fold tables where the bar and buffet will sit. Arrange StarShades over seating areas.
The Wedding Day: A Morning Inspection
You have done the hard work. Now spend ten minutes checking everything before guests arrive.
- Walk every route again. Overnight rain or wind can shift panels. Check that all connections are secure.
- Check marquee entrances. The transition from grass to flooring is a high-wear point. Make sure the edge is stable.
- Inspect walkways for debris. A stray twig on a panel edge can catch a heel. A quick sweep is all it takes.
- Verify that fencing is still in position. Wind can loosen temporary posts overnight.
- Check the car park entrance. If it rained overnight, does the access still look sound? If not, direct cars to alternative hard standing.
The Day After: Collection
The wedding is over. Now the site needs to return to normal.
- Remove and stack all walkway panels according to your hire provider's instructions.
- Remove marquee flooring, tables, shades, and fencing. Check the ground underneath. Good ground protection should mean the grass is still green.
- Do a final walk of the site. Look for anything left behind. Report any damage to the venue.
- Be present when the hire provider collects. Count items against the delivery note.
- Thank your suppliers. A quick message goes a long way.
Wet Weather Contingency
If the forecast turns bad, do not panic. Here is what to add to your checklist:
- Add extra walkway panels to cover routes that are starting to show wear.
- Extend vehicle access trackway further from the road if the entry point is getting soft.
- Lay additional panels in the car park turning area. This is where the most damage happens in wet weather.
- Move outdoor furniture onto protected ground. StarShades and fold tables are stable on LuxTrax but will sink into soft grass.
Planning a wedding involves a hundred different decisions. Ground protection is one you will never regret getting right. When it is done properly, nobody will even know it was there.
